1. About this Policy

Nivani Aesthetics Clinic LLP ("Nivani", "we", "our" or "us") respects the privacy of people who visit our website or contact us about consultations and services. This Privacy Policy explains how we handle personal information received through our website and related enquiry communications.

Our website offers information about skin, hair, body, laser, IV wellness and dental services. Information on the website is educational and does not replace a clinical consultation.

2. Information We Collect

When you submit an appointment enquiry, we collect your name, mobile number, email address, area of care, preferred consultation date and time, optional message, and acknowledgement of the Privacy Policy and permission to contact you.

Our website may also process limited technical information necessary to protect the enquiry form from misuse, such as request-origin and security-related information. Details of any additional analytics or advertising tools will be reflected in this policy if and when they are enabled.

Please do not include medical records, diagnostic reports or detailed medical histories in the website enquiry form. If you choose to include health-related information in a message, we will handle it as confidential enquiry information. Clinical records collected separately during patient care are subject to additional clinical processes and retention requirements.

3. Why We Use Information

We use enquiry information to respond to requests, contact you about consultation options, discuss availability, coordinate appointments, maintain the safety and integrity of our website, and comply with applicable legal requirements.

Submitting an enquiry does not confirm an appointment. Our team will communicate with you to discuss availability and next steps.

We do not treat submitting an appointment enquiry as consent to unrelated advertising or promotional messages. Where marketing communications are offered, appropriate separate permissions and opt-out arrangements will be provided.

4. How Website Enquiries Are Handled

When online enquiries are enabled, submitted information is validated by the website server and transmitted to the clinic's designated business email inbox, contact@nivaniaestheticsclinic.com. The enquiry function is designed without a separate website enquiry database. Email correspondence and limited technical records necessary for security or service operation may still exist within the systems involved.

The form is intended for initial enquiries and appointment preferences. It does not accept online payments or confirm bookings. We limit access to authorised team members who need the information to respond or manage the enquiry.

5. Sharing and Service Providers

We may engage trusted service providers for business email, website hosting, infrastructure security, communications and related clinic administration. Such providers may process information only for the relevant service purposes and under applicable contractual and security arrangements.

Information may also be disclosed when necessary for patient care with appropriate authority, to comply with applicable law, or to protect legitimate legal rights. We do not sell personal information.

Where information is processed outside India, we assess applicable requirements and safeguards before using those arrangements.

6. Retention and Management Review

Routine website appointment enquiry emails are retained for at least 180 days from receipt. After that minimum period, authorised clinic management may review the correspondence and approve secure deletion when the enquiry no longer needs to be retained. Emails will not be automatically deleted solely because 180 days have elapsed.

Correspondence may be kept longer if an enquiry is active, a follow-up is needed, a complaint or dispute is unresolved, or retention is required or justified under applicable law.

Records connected with actual consultations, treatment, clinical care, payments or other regulated activities may be subject to separate retention requirements. The clinic will maintain procedures for review, controlled access and approved deletion. A general mailbox-wide automatic deletion rule is not part of this policy.

7. Security

We use reasonable administrative and technical safeguards appropriate to the information we handle, including restricted access, server-side enquiry validation and measures intended to prevent unauthorised submissions. Access to the clinic email inbox should be limited to authorised personnel.

No online communication or storage system can be guaranteed completely secure. We review safeguards and respond to security concerns in accordance with applicable obligations.

8. Cookies, Analytics and External Links

Essential website technologies may be used to operate pages and support security. Any optional analytics, advertising pixels or tracking technologies will be reviewed for applicable consent and disclosure requirements before activation.

Our website may link to third-party websites. Their privacy practices are governed by their own policies, and we encourage visitors to review those notices.

9. Your Choices and Privacy Requests

You may contact us to ask about personal information associated with an enquiry, request correction of inaccurate information, withdraw permission for further enquiry-related contact where applicable, or request deletion where permitted by law.

We may need reasonable information to verify a request before acting on it. Some information may need to be retained where an applicable legal requirement or other lawful reason applies. We will consider requests and grievances under the legal requirements in force at the time.

10. Children and Guardians

A parent or lawful guardian should contact the clinic on behalf of a child where appropriate. The clinic will obtain any applicable guardian consent and follow requirements relevant to a child's personal information before processing it through online channels.

11. Changes to this Policy

We may update this policy when our practices, service providers or applicable legal requirements change. The latest version and its revision date will be shown on this page. Material changes will be communicated where required.
